Carus is built for swim teams. This policy explains what data we collect, why we collect it, and how we protect it.
When you create a Carus account we collect your name, email address, and the organization you belong to. Directors may also provide a pay rate or role designation for team members.
Carus uses your device location only at the moment you clock in or out to verify you are on site at your scheduled location. We do not track your location continuously or store a history of your movements.
We collect information about how you interact with the app — such as screens viewed and actions taken — to improve reliability and the user experience. This data is aggregated and not linked to your identity.
Carus records the times you clock in and out, your scheduled shifts, and any notes added during review. This information is used to generate timesheets and payroll summaries for your organization.
Messages sent through Carus are stored to deliver them to recipients and to display your conversation history within the app.
We use the information we collect to:
• Operate and provide the Carus service, including scheduling, clock-in/out, timesheets, and payroll features.
• Verify your location when you clock in to confirm you are at the designated work site.
• Deliver messages between team members.
• Send notifications relevant to your shifts, requests, and organization activity.
• Improve and debug the app based on aggregated usage patterns.
• Respond to your support requests.
We do not sell your personal information to third parties. We do not use your data for advertising purposes.
Directors in your organization can view team members' clock-in records, timesheets, schedules, and messages sent through Carus. This visibility is necessary for the service to function.
We work with a limited number of trusted third-party service providers (such as cloud hosting and analytics) who process data on our behalf under strict confidentiality obligations. They are not permitted to use your data for their own purposes.
We may disclose your information if required to do so by law or in response to valid legal process, such as a court order or government request.
We retain your account and timesheet data for as long as your organization maintains an active Carus account. When an account is closed, we delete or anonymize personal data within 90 days, except where retention is required by law.
Location data captured at clock-in is retained as part of the timesheet record and is subject to the same retention period.
We use industry-standard technical and organizational measures to protect your information, including encrypted data transmission (TLS) and access controls that limit who within our team can view your data.
No method of transmission over the internet is 100% secure. If you believe your account has been compromised, contact us immediately at [email protected].
Depending on your location, you may have the right to access, correct, or delete the personal information we hold about you. You may also have the right to object to certain processing or to request a copy of your data in a portable format.

Carus is intended for use by coaches and directors who are adults or working professionals. We do not knowingly collect personal information from children under 13. If you believe a minor has provided us with personal information, please contact us and we will promptly delete it.
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and, where changes are material, notify you through the app or by email.
